1. Assume all maintenance and service charge administration
- Carry out assessments of your buildings to initiate ongoing maintenance programmes.
- Carry out an annual assessment of service charges to establish adequate budgets (and reserves if necessary).
- Prepare the annual Service Charge Accounts and arrange for auditing.
- Distribute the annual accounts to the Lessees.
- Respond to solicitors enquiries regarding any transfer or re-mortgage of properties.
2. Fulfil all Insurance obligations
- Ensure that all of your properties are correctly insured with recognised, reputable insurers and make payment of the annual insurance premium to comply with the Lessor’s insurance obligations.
- Supply a copy of the policy schedule on request.
- Annually revalue the sums insured and negotiate any claims with the insurers.
3. Manage maintenance and settle all costs
- Fulfil your maintenance obligations and liaise with Flat Owners.
- Arrange and monitor service contracts (e.g. lift, garage security control systems, fire extinguishers, T.V. aerial and door entry system).
- Organise full supervision of works including obtaining estimates and instructing contractors.
- Approve and facilitate the payment of contractor invoices.
- Prepare and issue invoices for interim service charges, extraordinary service charges and ground rent.
- Carry out all works in accordance with the Landlord and Tenant Act 1985 (as amended by The Commonhold and Leasehold Reform Act 2002) and issue all relevant notices in compliance with that Act.
4. Pursue any outstanding debts
- Use our in-house credit control department to pursue and recover any Ground Rent and Service Charge debts.
5. Enforce covenants or deal with disputes
- Enforce Covenants against individual Lessees and deal with disputes and nuisances caused by Lessees or their sub-tenants.
